Privacy Policy
This policy explains what personal data Pixel Proxy Media collects through www.pixelproxymedia.com and through our editing work, why we collect it, who we share it with, how long we keep it and what rights you have.
1. Who we are
Pixel Proxy Media is a post-production and short-form content agency based in New Delhi, India. It is a sole proprietorship owned by Nikhil.
- Address: 5th Pushta Marg, Sonia Vihar, New Delhi 110094, India
- Email: hellothere@pixelproxymedia.com
For your personal data, we are the "data fiduciary" under India's Digital Personal Data Protection Act, 2023 and the "controller" under the EU and UK GDPR.
2. What we collect
When you contact us through the website form
- Name and email address (required)
- Service you need and your message (required)
- Optional details: company, website or social link, monthly or quarterly volume, and what you want to achieve
- The plan you came from, if you clicked a plan's button
When you email or message us
- Your name, email address and anything you choose to send us
When you become a client
- Contact and billing details: name, business name, billing address, tax ID if you give one
- Payment records. Card or bank details are handled by our payment provider, not stored by us.
- The footage, audio, images, scripts, logos and brand material you send us for editing. This material can include the faces, voices and names of you and other people.
- Feedback, review notes and messages about your projects
When you browse the website
- Our website host, Framer, counts visits without cookies. It hashes your IP address and browser details with a value that is replaced every day, only to count daily unique visitors. We cannot identify you from it.
- Loading the site's fonts and one style file means your browser connects to Google Fonts and unpkg.com, which receive your IP address as part of that request.
- If you switch the site between light and dark mode, your choice is saved on your own device (see our Cookie Policy). It is not sent to us.
We do not knowingly collect sensitive personal data such as health, financial account or biometric information through the website. Please do not send it in the contact form.
3. Why we use it
Under India's DPDP Act we process personal data for these purposes on the basis of your consent, which you give when you send us the form or engage us, or for the legitimate uses the Act allows.
We do not sell personal data. We do not use it for advertising or profiling, and we make no automated decisions about you.
4. Who we share it with
We share personal data only with service providers who help us run the business, and only what they need:
- Framer (website hosting and visit counts)
- FormSubmit (delivers website form submissions to our inbox)
- GoDaddy (business email)
- Google (website fonts; Google Workspace and Google Drive for sending and receiving project files)
- Project and communication tools we use to manage work (for example ClickUp and Slack)
- Payment providers that process your payments: none yet. We will name our payment provider here before we take any payments
- Freelance editors and team members who work on your project, bound by confidentiality
We may also disclose data if the law requires it, or to protect our rights in a dispute.
Some of these providers store data outside India, the EU and the UK, mainly in the United States. Where GDPR applies, we rely on the provider's standard contractual clauses or other approved safeguards for these transfers.
5. How long we keep it
- Enquiries that do not become projects: up to 24 months after our last contact, then deleted.
- Raw footage and working files: deleted within 90 days of final delivery and your approval, unless you ask us to keep them longer.
- Finished edits and project notes: kept for the length of our relationship and up to 24 months after it ends, so we can help with re-edits.
- Invoices and payment records: kept as long as Indian tax law requires (currently up to 8 years).
- Form submissions held by FormSubmit: kept by FormSubmit for about 30 days to recover failed deliveries.
6. Your work in our portfolio
We only show a client's edit on our website or social channels with that client's written permission. You can withdraw permission at any time by emailing us, and we will remove the work from our website within 7 days.
7. Material you send us that includes other people
If your footage or files include other people, you are responsible for having their permission to share it with us for editing. We use that material only to deliver your project.
8. Your rights
Depending on where you live, you can:
- Ask what personal data we hold about you and how we use it
- Ask us to correct or complete it
- Ask us to delete it, where we are not required to keep it
- Withdraw consent at any time. This does not affect anything we did before you withdrew.
- Object to or restrict our use of your data, or ask for a copy in a portable format (GDPR)
- Nominate someone to exercise your rights if you die or become unable to (India DPDP Act)
- Complain to us, and then to a regulator: the Data Protection Board of India, or your local data protection authority in the EU or UK
To use any of these rights, email hellothere@pixelproxymedia.com. We reply within 30 days.
9. Grievance Officer
If you have a concern about how we handle your personal data, contact our Grievance Officer:
- Name: Nikhil
- Email: hellothere@pixelproxymedia.com
- Address: 5th Pushta Marg, Sonia Vihar, New Delhi 110094, India
We will acknowledge your complaint and aim to resolve it within 30 days.
10. Security
We use reasonable security measures: access-controlled accounts, two-step sign-in where available, encrypted connections and limited access to client files. No system is completely secure. If a breach affects your personal data, we will tell you and the relevant authority as the law requires.
11. Children
Our website and services are for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their data, contact us and we will delete it.
12. Changes to this policy
We may update this policy. The date at the top shows the latest version. If a change is significant, we will tell clients by email.
